What a digital workforce is in a clinic: an AI assistant for your physicians, not a replacement

Before making a diagnosis or recommending a treatment, physicians check a lot of material, and finding the right passage takes time. We build an AI assistant on your clinic's own documents: physicians ask the way they would ask a colleague and get an answer drawn only from those documents. It's your clinic's knowledge base, searchable with AI.

It is

  • An internal assistant for your medical team, with no patient contact
  • A faster way to consult the documents your clinic has already approved
  • Built on your own, private documents, chosen by your clinic

It is not

  • A tool that diagnoses or prescribes
  • A substitute for clinical judgment
  • An open internet search tool

What your physicians gain with an AI assistant

Faster lookups

The answer comes when you ask, without going through binders, folders and PDFs.

24/7 coverage

Available on call, on weekends and outside clinic hours.

More capacity: more time with patients

Time spent searching goes back to patient care, without growing the team.

Fewer errors when looking up information

It answers only from approved documents, so the whole team works from the same information.

Lower costs

Fewer hours spent searching and fewer questions to colleagues about things that are already documented.

Also

  • Faster onboarding: new physicians quickly find the clinic's protocols and reference documents.
  • One library, kept current: when the clinic updates a document, the assistant consults the current version.

How the AI assistant works: from your clinic's documents to a sourced answer

  1. Your clinic chooses the documents. Clinical studies, abstracts, posters, product monographs and internal protocols. Only what the clinic approves.

  2. Physicians ask in plain language. It's a responsive web app and can be configured for use on mobile.

  3. The assistant answers with the source. It uses only those documents and cites the document each answer comes from. The physician verifies and decides.

The assistant supports the physician's judgment; it does not diagnose or prescribe treatments. The physician verifies and decides.

Case · Aesthetic and regenerative medicine clinic in Canada

An AI assistant to consult the clinic's medical documents

Before
In areas such as hormone therapy, physicians had to go through studies, abstracts, posters and product monographs by hand.
After
We built an AI assistant on the clinic's abstracts and posters. Physicians ask their question, get an answer drawn only from those documents, and decide. It's internal support: it has no patient contact.
Result
Faster lookups and less time spent searching for information.

GalenXLab's experience with document assistants

  • We have built assistants over 500-page PDF documents.
  • We specialize in clinical trial documents, which are hard to curate when physicians ask very granular, specific questions.
  • The assistant can also be offered with voice agents.

How we implement a digital workforce in your clinic

Healthcare AI consulting that starts from how your physicians work today. Learn more about our digital workforce approach.

  1. Assessment. We review with your team what gets looked up most and where time is lost.

  2. Prototype. We build a first version with a set of documents, tested by the physicians who will use it.

  3. Adjustment and adoption. We refine it based on what the team reports.

  4. Scale. We add documents, areas or the next process.

Build the plan for your clinic

Tell us what your physicians look up most. At no cost, we'll email you where to start.

Your plan includes

  • Which documents to include first
  • Where your team can save time
  • What can be prototyped before scaling

Don't include health data or patient information. See our privacy notice.

Frequently asked questions about the AI assistant for physicians

Does the assistant diagnose or prescribe treatments?

No. The assistant supports the physician's judgment; it does not diagnose or prescribe treatments. It answers only from the documents your clinic approves, and the physician verifies and decides.

Which documents can it consult?

The ones your clinic chooses for its knowledge base: clinical studies, abstracts, posters, product monographs and internal protocols. Your clinic decides what goes in and when it is updated or removed. In the Canadian case, abstracts and posters were loaded; they contain no patient names.

How do I know where each answer comes from?

Each answer cites the document and the passage it comes from, so the physician can open it and check it. The assistant answers only from the documents your clinic approves.

What happens with my patients' data?

We design each solution with personal data protection and the rules that apply where your clinic operates in mind, and we define with you who can access which information. Your clinic decides what is loaded and who uses the assistant, and remains responsible for its patients' data; GalenXLab acts only on your clinic's instructions and under contract. If your project requires it, we can build it under standards such as HIPAA. See our privacy notice.

Do I need to change my systems?

No. The assistant works on your documents, and the automations work with the scheduling, form and email tools you already use.

Does the plan cost anything?

No. The plan is at no cost: we identify where to start and what it would take. The cost of the project depends on its scope.
